1Executive summary
The front desk of a single-location dental practice manages a constant flow of work. Staff members are responsible for answering phones, checking insurance, tracking claims, and presenting treatment plans, often all at once.
Noblesville Dental Associates connected VoxHealth to its Dentrix system to manage these tasks on one platform. An AI agent answers hundreds of patient calls each month using live appointment availability. Insurance eligibility is confirmed automatically for upcoming visits. Every claim is tracked to payment, with special attention to claims that payers return unpaid. Treatment plans are prepared for printing on the office's own template in clear, patient-friendly language.
We estimate the platform delivers nearly $3,000 a month in value from saved staff time and protected appointments, before counting the gains from better claims and insurance tracking.
2The practice
Noblesville Dental Associates is a single-location general dental practice in Noblesville, Indiana. The office uses Dentrix to manage its schedule, patient records, insurance, and billing.
3The challenge
In a busy dental office, every phone call is an interruption. Calls that arrive during peak hours or after the office has closed often go to voicemail, which means some patients may not call back.
Insurance administration creates a steady, manual workload. Staff must check eligibility for each patient by phone or through a payer portal. Following up on claims requires running and reading Dentrix reports, and it is easy to overlook claims that a payer processed but did not pay.
Presenting treatment plans clearly is another common challenge. A standard printout of procedure codes and fees can be confusing for patients and may delay their decision to begin care.
4The approach
VoxHealth connects directly to Dentrix, keeping the schedule, patient records, insurance information, and financial ledger in sync. This integration means that staff do not need to enter the same information in multiple places.
5Calls
The AI agent answers patient calls using live Dentrix availability. It follows the office's scheduling rules, including visit lengths and which chairs can be booked.
- Book and cancel appointments in Dentrix
- Answer common questions about the practice
- Transfer callers to staff when a person is needed
- Take a message when a call cannot be completed
- Send an email alert for every new voicemail
6Insurance and claims
Insurance and billing tasks move from phone calls and payer portals into a single view of the office's Dentrix data.
- Run eligibility checks automatically before visits
- Verify hygiene visits under the supervising dentist's credentials
- Track every claim by status, aging, and payer
- Flag claims that payers processed but did not pay
- Measure collections against expected payment for each plan
- Identify insurance payments that arrive without a check or EFT reference
7Treatment plans
Staff can view all treatment plans from Dentrix on a single page, organized by case status. When a plan is ready for the patient, it can be printed on a template using Noblesville's own branding.
The printout is designed for patients to understand easily. It opens with an overview of the plan, then details the fees for each phase, treatment alternatives, and what insurance is expected to cover. Every procedure has a patient-friendly name, so patients read about their care instead of billing codes.
8Results
Each month, the AI agent answers more than 500 patient calls. The system manages many of these calls independently, while others are routed to office staff as a live transfer, a message, or a voicemail alert.
With no one waiting on hold, about 60 insurance eligibility checks are run automatically each month. The platform keeps more than 1,000 appointments in sync with Dentrix and adds over 150 new claims to the tracking view, where the office can monitor each one through to payment.
The practice can now measure its insurance collections against expected payment rates, a more useful metric than comparing to the full fee schedule. Unpaid claims and payments that arrive without a reference are flagged for attention instead of getting lost in reports.
9What VoxHealth is worth to Noblesville
The platform's value to a single-office practice is best measured in recovered staff time and protected patient appointments.
Answering more than 500 calls by hand would consume about 45 staff hours a month. Automatic eligibility checks save another 8 hours of phone calls to insurers. This represents about 50 hours of staff time a month, worth an estimated $1,750.
The AI agent also books appointments directly in Dentrix. If we assume half of those callers would not have tried again, these bookings protect about $1,100 a month in patient visits.
Together, these two areas create nearly $3,000 in monthly value, or about $34,000 a year. The estimate leaves out claims tracking, collections reporting, and treatment plans, so it is a floor.
| Source of value | Staff hours | Value |
|---|---|---|
| Patient calls answered by the AI agent | ~45 | ~$1,500 |
| Insurance eligibility checks run automatically | ~8 | ~$250 |
| Appointments booked that would otherwise be lost | ~$1,100 | |
| Total | ~50 | ~$2,850 |
Staff time is valued at $32 an hour, including benefits. Patient visits are valued at $250 each. See the 'How we measured' section for details.
10What this means for your practice
For a smaller practice, the greatest benefit comes from an AI agent that can take action within your practice management system. Answering the phone is helpful, but booking directly into Dentrix according to your rules is what eliminates the need for a follow-up call.
Automating eligibility checks is a fast way to reduce administrative work. The system runs the checks before the appointment, so your staff only need to address the exceptions.
Measuring insurance collections against expected payment rates gives you a more accurate picture of performance than comparing against your full fee schedule. This approach reveals the true collection gaps and brings attention to unpaid claims that most reports would miss.
11What to know before you start
The claims view shows which claims were paid nothing, but it does not include the reason for denial. Denial codes are found in electronic remittance advice (ERA) files, which are not available to practices that submit claims on paper.
Reconciling payments with bank deposits is simplest with a bank data feed or ERA enrollment. Without them, reconciliation is a manual process, supported by a daily collections report from VoxHealth.
It is important to decide which types of calls should be transferred to a live person. The agent can transfer callers when a staff member is available and will take a message when no one is free.
12How we measured
All volumes are approximate monthly averages from VoxHealth records. Calls are valued at 5 minutes of staff time each, based on the VoxHealth savings calculator. The 8-minute estimate for eligibility checks comes from the 2024 CAQH Index for dental practices. Staff cost is based on the national mean wage for medical secretaries from the Bureau of Labor Statistics, plus 30% for benefits.
The value of protected visits is based only on appointments booked directly by the AI agent. We assume half of these patients would not have called back and value each visit at $250, the figure for general dentistry in our savings calculator. This document does not include the practice's private financial data.
